General Policy WePlay Centre operates with a strict no-refund policy. All registrations, payments, bookings, and reservations are considered final once submitted and paid. This policy is necessary due to the significant costs associated with facility bookings, staffing, equipment preparation, and program planning. We are unable to offer refunds for change of mind, scheduling conflicts, personal circumstances, illness, or any other reason not explicitly covered below.
Cancellation by Participant
- Cancellations made more than 7 days before the start of the program, camp, event, tournament, or booking may be considered on a case-by-case basis. If approved, an administrative fee may be deducted.
- Cancellations made less than 7 days before the start date will not be refunded under any circumstances.
- Once a program, camp, event, or session has officially started, no refunds or credits will be issued.
Cancellation by WePlay Centre In the rare event that WePlay Centre must cancel a program, camp, event, tournament, or booking for any reason (including but not limited to facility issues, staffing shortages, or force majeure), a full refund of all paid fees will be issued to participants. No administrative fees will be deducted in such cases. WePlay Centre will make every reasonable effort to notify registered participants as early as possible.
Tryout, Registration, and Deposit Fees All tryout fees, registration fees, and deposits are non-refundable and non-transferable.
Credits (when offered)
In exceptional cases where a cancellation is approved, WePlay Centre may issue a credit instead of a refund.
• A credit can be rescheduled only once.
• Credits cannot be continuously rescheduled.
• All credits are valid for one year from the date of issuance and are non-transferable.
Program Cancellations by WePlay Centre If WePlay Centre cancels a program for any reason, participants will receive a full refund or the option to transfer the credit to another available program of equal or lesser value.
How to Request a Refund or Credit All refund or credit requests must be submitted in writing via email to info@weplaycentre.ca. Requests must include the participant’s name, program name, and reason for cancellation. Approval is at the sole discretion of WePlay Centre management.
Important Notes
- This policy applies to all programs, camps, leagues, tournaments, private bookings, and events offered by WePlay Centre.
- Families are encouraged to purchase personal travel or event insurance if they are concerned about potential cancellations due to unforeseen circumstances.
- By completing registration and payment, you acknowledge that you have read, understood, and agreed to this Refund / Cancellation Policy.
